If you've used Beryl, you've probably wondered where the name came from. Or maybe you haven't thought about it at all, because that's exactly how a good tool should feel. Just there, just useful. But behind Beryl is a story that says a lot about why the Australian Payroll Association exists in the first place.
Payroll in Australia is genuinely hard to get right. Eight states and territories, each with their own laws and quirks. Awards to interpret, the Fair Work Act to cross reference, precedents to weigh up. For over fifteen years, APA has built up deep expertise in this space, but that expertise lived in the heads of a small number of highly skilled, highly experienced people.
The problem is you can't scale humans. Our founder, Tracy, puts it simply: small businesses often have more questions than our largest clients, and there was no way to serve that volume of enquiry with people alone, not without going broke trying.
So the goal became: how do we democratise over fifteen years of payroll knowledge, so any employer can access it, with no barrier to entry?
It's a fair question, and one Tracy has answered more times than she can count. Generic AI tools can sometimes get payroll questions right and sometimes they get them completely wrong, confidently making up an answer when they don't actually know one. In a field where a wrong answer can land an employer in legal trouble, “sometimes right” isn't good enough. APA needed something that wouldn't hallucinate and that meant building something purpose built rather than relying on off-the-shelf AI.
One thing was non-negotiable from day one: APA had to own the IP. Tracy was clear it needed to be genuinely ours, our knowledge, our data and our standards, not a rebadged off-the-shelf tool with our logo stuck on it.
That standard shaped how Beryl came together. Before committing to a full build, we proved the concept properly: a real, working example we could see and test, not just a pitch. From there, development followed a disciplined, accountable rhythm, with regular checkpoints on what had been delivered and what came next. Under the hood, Beryl was built to research before she answers, analysing the question, then pulling from awards, the Fair Work Act, roughly 30,000 real past enquiries from APA's help desk history and our own extensive knowledge base. Because payroll advice carries real risk, every answer also runs through a compliance check that catches anything straying into calculation or legal advice territory and rewrites it accordingly.
Getting the technology right was only ever half the job. Beryl's accuracy doesn't happen by accident, it's maintained day in, day out by our own team of expert SME consultants, who continuously review Beryl's answers for correctness against real payroll law and practice: daily reviews from our subject matter experts, plus a weekly accuracy audit across a broader sample of conversations. It's this constant human-in-the-loop process, payroll experts checking AI generated answers against their own decades of experience, that lets us stand behind Beryl's answers with confidence, built properly, by an industry body that lives and breathes payroll every day.
Tracy's idea didn't just solve a problem for APA and our members, it was recognised industry wide, with Beryl winning AI Innovator – Accountancy Services at the Australian AI Awards 2025, a genuinely proud moment for the team and validation that the approach we took was the right one. It's also likely why so many members have gotten on board. Since launching in 2025, Beryl has answered over 31,000 queries, more than our help desk team could ever have managed alone, all grounded in more than 30,000 real past payroll conversations drawn from years of genuine member history.
Beryl isn't finished, she's just getting started. Her knowledge continues to grow every day, as our team feeds in new precedents, award updates and real member questions, building genuine confidence in how payroll professionals get people paid, correctly, every time.
If you're not on the Beryl bandwagon yet, there's no better time to jump on. She's already part of our team and she can be part of yours too. Sign up, ask your first question and see what over fifteen years of payroll expertise looks like when it's available to you, instantly, day or night.
P.S. Oh, and if you're one of the few who are curious, what's with the name Beryl? It's an internal name Tracy would often use for APA projects. What started as Project Beryl turned into the Beryl AI assistant and it's stuck ever since. Honestly, we can't imagine her any different.
